STCWVC Admin Council Meeting December 11, 2003 The regular Admin Council meeting of the STC Willamette-Valley Chapter, held at the Greenwood Gardens, Beaverton, Oregon, was called to order by chapter president Rachel Houghton at 6:20 p.m. In attendance were: president Rachel Houghton, 1st vice president Maralee Sautter, 2nd vice president Kathee Kuvinka, treasurer Russell Pike, volunteer coordinator Mairi-Kate Campbell, web master Wyn Bowler, and hospitality manager Teresa Shelton. In the absence of the secretary, Wyn Bowler was secretary pro-tem. Minutes: Teresa Shelton moved that the October minutes be approved as mailed. Motion was seconded and adopted. Kathee Kuvinka or Don Roberts will look into why the WVC announcement emails are not always immediately sent. Treasurer: Russell Pike gave the treasurer's report (attached). Balance on hand as of December 11, 2003, is $7,271.2. This includes $3,991.08 in the savings account, which is set aside for the competition banquet and other expenses. The chapter will receive a dues rebate from STC of approximately $4500 in January. The chapter has $1500 set aside to help the chapter's next term president, Maralee Sautter, pay for expenses (travel, room, and registration) to attend the STC convention in May. Chapter president Rachel Houghton will be a panel member for one of the sessions at the STC convention. The treasurer will review the budget for the term versus actual expenses- to-date at the January meeting. Maralee Sautter moved that the chapter renew its Zoomerang subscription. Motion was seconded and adopted. The council members felt that using Zoomerang facilitates the collection and dissemination of the members' evaluations of the chapter meetings. Tom White, chapter Zoomerang Czar, will report at the next meeting when the subscription renewal is due. Programs: Maralee Sautter, 1st vice president, reviewed the November and December meetings survey results. Twenty-two members and two guests attended the November meeting. Thirty-eight members and three guests attended the December meeting. The January meeting will be held at The Round, in Beaverton. The room rental will be $250. The catering will cost approximately $600. The subject is audience analysis. When members make their reservation for the meeting, Teresa Shelton will send them a parking permit. The February meeting will be a panel on information architecture and the March meeting will be a panel on needs analysis. Sautter is working on locations for these meetings. In addition, the competition banquet will be held in February at the Mallory. Sautter is working with Tom White to develop good titles for meeting announcements. Kathee Kuvinka reported that the chapter will probably lose members next year due to the STC dues increase. The council talked about having a membership recruitment drive in March. Kuvinka will submit a draft article for the web site to the council at the January meeting. Competition: Teresa Shelton will ask competition manager Christy Graunke to send a report to the council so that we know how many distinguished awards we have. Website: Wyn Bowler, web manager, reported that she will soon start updating the site, in addition to posting the meetings. She has several volunteers to help her. President Houghton asked her to link the STC convention to the chapter's calendar. Volunteer Opportunities: Mairi-Kate Campbell, volunteer coordinator, said she has a volunteer for membership manager, Don Roberts. Samantha Lizak is the new publicity manager and Tim Derby is the assistant. Teresa Shelton said she errored in saying that Skip Martin would like to step-down as assistant publicity manager (as reported in he October minutes). Membership: Kathee Kuvinka announced the chapter has 404 members. Publicity: Samantha Lizak, publicity manager, and Rachel Houghton, chapter president, within the next week will send out a postcard to all chapter members with information about the meetings for the next quarter. President Houghton will send to the council members an updated chapter leadership list. Kuvinka suggested that as publicity for the chapter, members volunteer as a group for the OPB televised fund raising drive or other activity. President Houghton suggested Race for the Cure. Misc: Maralee Sautter suggested that we buy one or two copies of Robin Rose's and Jeff Crow's books to use as door prizes at future chapter meetings.
